RULES

The following rules have been drawn up to protect you and others working with you on site.

They apply to everyone, without exception. For your own safety, and the safety of others, we

reserve the right to ask you to leave the site if you do not adhere to these rules.

CROWD MANAGEMENT

Artists must not encourage moshing, stage diving, crowd surfing, "walls of death," or any

other hazardous audience activities. Security and Stage Managers will take all necessary

steps to enforce this policy, including stopping the performance to ensure the safety of

guests if necessary.

It is not permitted for artists to invite members of the audience to climb on stage or on any

structure during their performance. We expect the artists' total and swift cooperation in

these matters.

All artist’s management are required to acknowledge receipt of the Festival Showstop

Procedure and confirm that they will comply with its contents. Any deviation from the

showstop procedure must be agreed with Senior Management in advance of the

performance.

HEALTH & SAFETY

There will be a comprehensive first aid provision on site at all times during the event. It is the

intention of the organisers to create a safe working environment for contractors, attendees,

artists and crew. We ask that all artists and their touring parties respect the site rules,

behave courteously and obey signage and instruction from the event and stage

management team.

Under Health and Safety Law, it is required that all accidents, incidents, and near misses be

reported and registered. If any of these occur, please log the details with the Artist Liaison

Team immediately.

If you discover something you consider to be unsafe, please report it to the Artist Liaison

Team promptly. In the case of any concern over safety issues, the Event Safety Advisor’s

decision is final.

NOISE MANAGEMENT

An independent contractor monitors noise levels on and around the site to ensure we are

complying without licence. Sound engineers must ensure that the show is kept within the

reasonable limits that have been set.

Where off-site noise levels exceed the limits set out in the Noise Management Plan, the noise

management contractor will instruct the relevant sound engineer(s) to lower the PA level

until the off-site reading is compliant.

In addition to monitoring and controlling off-site noise levels, the volume of amplified

entertainment on-site must also be considered. Noise levels from even PA systems must

not exceed safe limits, which may cause headaches, hearing loss and other aural damage.

SHOW STOP

In the event of a serious incident in the crowd or wider venue, Truck Festival may need to stop

the show to protect public safety. This measure will only be taken in circumstances of

immediate life-safety threat or in response to a serious incident elsewhere on the event site.

Hopefully any show-stop can be temporary, and the show may be re-started once the incident

is resolved.

A Show Stop will only be called by a senior member of the Truck Festival Operational Team,

Stage manager, or by the Pit Security Supervisor. If a showstop is called, the artist will need to

make sure the performance is halted immediately.

Before taking the stage, the Artistes’ representative must meet with the Truck Festival

representative to confirm the process of bringing the show to a halt if required. The Artists’

representative, whether this is their Tour Security, Stage Manager or Tour Manager, must

remain at the stage throughout the performance. If they leave the stage, the link to the

performer may be lost, meaning a show stop could be delayed or confused.

Ideally, the Artist will talk directly to the crowd to explain the situation or advise them of any

action they need to take. If the Artiste is unwilling to do this, please let us know, and the

Stage Manager will make any necessary announcements. Our desire to present a great show

means a Show Stop would only be called if the danger is clear and imminent. It is not

something to be. It is not overstating things to say that a couple of minutes spent talking this

through could save lives in an emergency. Your cooperation is appreciated.

In the event that it is safe to restart the show this decision shall be made by a member of the

Senior Event Management team, and only after consultation with all appropriate parties

including: Security Managers, Medical Team, Stage Manager and Artist Party.

SMOKING

It is illegal to smoke in virtually all enclosed public places, workplaces, public and work

vehicles. For the event this will include dressing rooms, catering areas, onstage, front of

house mix positions and any vehicles used to transport artists or equipment around the site.

PROCEDURES

ACCESSIBILITY AT TRUCK FESTIVAL

Access is extremely important to us at Truck Festival and we believe all events should be

accessible for all to enjoy. We work closely with Attitude is Everything and know that to truly

champion accessibility as well as be one of the industry standard bearers, we need to strive

to improve year on year and continue to meet all needs and requirements of all our

customers, sta and artists. This is something we are fully committed to doing and we aim

to improve for the third successive year by achieving the Attitude is Everything Gold award in

2023.

Please make us aware if you, any of your crew or artist party have any access requirements

by 11th July so we can ensure the appropriate infrastructure and support are in place to

make sure their time at Truck is as comfortable and enjoyable as possible. If you would like

ACCREDITATION

Please contact Artist Liaison for any questions regarding passes, guests, catering rider etc.

You will have received a link to an online advancing form requesting touring party details,

vehicle details, tech spec, stage plots, etc. The deadline for us to receive this back will be

27th June but we would appreciate receiving this as soon as possible. You will then receive a

parking permits. The Eventree system can be edited right up to the day of the event in case

there are any changes to your touring personnel. Please check your spam folder as

depending on personal email filters it may drop in there.

Please note that event passes will be the ONLY passes acknowledged by security sta. Any

specific artist laminates will NOT be valid. The wristbands you will be issued must be worn

at all times. These wristbands will allow you access onto the relevant stage and into the

artist dressing room area ONLY on the day you are playing. On the other days, with this

same wristband, you will have access for General Admission ONLY; you will not be allowed

into the dressing room compound.

ALL PASSES CAN BE COLLECTED ONSITE AT ARTIST ACCREDITATION FROM 8AM- 9PM

DAILY.

On stage passes are valid for performance day only, however bands and crew are

welcome to stay for the rest of the weekend as our guests, in guest areas.

ARTIST CATERING

Artist catering will be from selected street food vendors onsite. Menus will be circulated by

Artist Liaison in advance of the event such that orders can be made. There will be a range of

meat, veggie, vegan, GF options but please make us aware of any dietary requirements

beforehand so we can accommodate. Your hospitality rider will be mutually agreed IN

ADVANCE with Artist Liaison with NO EXCEPTIONS .

BUS AND TRUCK PARKING

Vehicle passes are required to enter the site, and will need to be picked up from

accreditation.

Please make us aware of any overnight arrivals, we will require; Name of driver, Name of

company, Vehicle reg, type of vehicle and ETA. Access routes for overnight arrivals may

dier and this will be advanced with you separately.

Please note that we can supply limited 16a single or 32a three phase supplies for tour buses

ON YOUR SHOW DAY ONLY. As space is extremely limited, we cannot accommodate any

vehicles on the day that have not been agreed to in advance.

CLOSED STAGE

Access to the stages may be restricted at times other than during your Artist’s set.

Unfortunately, this area is not for watching the show and is limited to working personnel

only. Please respect each artist’s working space, as you want them to respect yours.

If you wish to have a closed stage you must agree to this in advance. If a closed stage is

agreed, the artist team will need to provide the additional passes required for this purpose.

The festival production team will require an additional 30 passes for our production crew.

Please also provide additional pass sheets on the day of your performance.

DRESSING ROOMS & BACKSTAGE FACILITIES

All dressing rooms are located in the Artist Village behind the mainstage. If you are assigned

one, each room will have a table, chairs and heating provided with access to Wi-Fi and power

points.The dressing rooms are located behind the main stage and we will shuttle artists in

buggies from the dressing rooms to the Market and Nest stages as and when required. There

are shower and toilet units on site near the tour bus pad within the Artist compound. Stage

towels will be provided as long as they are advanced.

GUESTLIST

Guest list tickets will be added to your artist accreditation in Eventree for you to allocate.

Guest tickets are valid for the full weekend including camping.

You will be sent a link to Eventree (accreditation system) as soon as your Artist Form is

completed. Please note Guest List Tickets DO NOT enter through the artist entrance. Guest

tickets will be available to pick up (ID required) from the box office on the festival site. Guest

tickets are General Admission tickets unless otherwise agreed in advance. There is a

CHARITY donation of £35 for a weekend ticket and £40 for a Thursday + weekend ticket.

We do NOT have a guest car park. Please see here for information about getting to the site,

including general parking. It is much cheaper to purchase tickets for parking in advance!

Guest List ticket holders will need to adhere to the same processes as the general

public. Please see the FAQs which should answer any of your guests questions

alongside the information above.

MEDIA PASSES

If you require your publicist onsite to escort your artist into the press area, please add them

to your personnel list and they will be issued with an Artist Day wristband.

If you have your own band photographer/videographer, they will also need to be included

on your personnel list and will be issued with an Artist Day wristband. These names must

be submitted along with the rest of your accreditation in advance by 27th JUNE as we

cannot facilitate last minute requests. Please note: Your band photographer/videographer

will only be permitted to photograph/ film your set unless otherwise approved in advance

with the Zeitgeist PR team. These guidelines include any planned capturing of social

content using phone cameras, which should be flagged in advance so we can ensure the

correct access.

Photo Passes are required to enter the pit for photos. No photography will be allowed in the

artist area. Press passes do not automatically permit access to the pit. Our PR Team,

Zeitgeist will invite press and media to the festival. Ahead of the festival our PR Team will be

in touch to discuss any media opportunities that may be available to artists. The points here

to remember are:

1. There will be a press area located backstage for all interviews to be conducted in.

There will be a member of our PR Team on hand to escort you there if needed.

2. Approved photographers will be operating under a “first three songs no flash” rule. If

you have any other restrictions/requirements that are usually put in place other than

the ones above please let us know.

3. Truck PR Team will be in touch ahead of the Festival to discuss any upcoming media

opportunities with relevant artists.

MERCHANDISE

The sale of merchandise can be arranged for a 20% commission on all sales.

Please note for headline acts the allocation is maximum 2 x shirts + 1 x alternate

Item up to Stock will be checked in upon arrival and departure at the Merchandise shop

and cross referenced with sales data. Settlement will be made post-show via cheque or

BACS transfer. Please allow up to 30 days for payment to be processed.

Please deliver all merchandise to the Event Site on either Monday 22nd July or Tuesday

23rd July, addressed to: Truck Festival Merchandise Stand: FAO ‘Upstream Merch Tent’,

Truck Festival, Red Gate, Hill Farm, Steventon, Oxon, OX13 6AB.

Stock must be collected during or at the end of the event rather than it being posted

back to you where at all possible.

The on site collection will be from the Main Merchandise store located in the main

arena.

MUST COLLECT LEFTOVER STOCK BEFORE 10PM SUNDAY 27th JULY.

Artists will be liable for any courier costs incurred to transport merchandise back to

them if left with us on site.

PIT MANAGEMENT

A mojo type pit barrier will be installed across the full width of the stage and the pit will be

stewarded.

PYROTECHNICS/SFX

Please see individual stage specifications for details on any special effects that are provided

by the festival. The use of any additional pyrotechnics or other special effects require explicit

agreement one month in advance of the show.

RADIO FREQUENCIES

All wireless equipment (including microphones, IEMs or walkie-talkie type radios) must

operate on licensed frequencies. Due to the size and multi-stage nature of this event, the RF

spectrum is managed by the festival in coordination with Ofcom to avoid any clashes or

intermodulation. Any touring/visiting RF equipment must obtain spot frequencies from the

festival’s RF coordinator and must use these frequency allocations while the equipment is in

use on the site. This RF coordination requirement is applicable even if an existing license

from Ofcom license has been obtained, as it will not have been coordinated for this specific

site and may cause or receive interference or intermodulation with other RF equipment

across the site. Standard PMSE spot frequencies are charged at £17 per frequency and will

be accounted for in the settlement. Other RF license types will be charged accordingly.

SOUNDCHECKS

All soundchecks must be advanced, approved and scheduled by the Technical Production

Manager prior to the event. Due to arena opening times and the nature of a festival site it

may not be possible for your soundcheck to be carried out without being witnessed by the

general public and we must prioritise headline acts where necessary.

LINE CHECK/CHANGEOVER

Unless specified otherwise there are 30 minute changeovers to perform full line and monitor

checks with additional time beforehand to start to build the backline using rolling risers -

closer to the time we will communicate a load-in time so you know the exact time risers will

be available to start building your backline.

TOURING SECURITY

All touring security must be SIA accredited. Refer to the Government Guidance for further

information.

The Artist Liaison Manager must be informed if you are planning to bring your own security

to the event. Touring security personnel must liaise with the event’s Security Manager prior

to arrival to ensure all arrangements are fully discussed. An introduction can be made by the

Artist Liaison Manager on request. It is imperative that any instruction from Event

Management be adhered to in all circumstances, especially in emergency scenarios.

VISAS & WORK PERMITS

You will require a work permit if any person(s) in your touring party, band or crew are not UK

citizens. The arrangement and cost of any required work permits will be the responsibility of

the artist, unless agreed otherwise with the Event Programmer.

MUSIC SUPPORT

We’re proud to share that Music support, the charity that helps anyone who works in the UK music

industry experiencing substance use, addiction and/or mental ill-health challenges (and their family

and friends), are bringing their Safe Hub backstage to Truck Fest. The hub, is a place where artists

and crew can come to speak to a fully accredited Therapist, Mental Health First Aid trained peers or

simply take some time out. The Music Support Safe Hub team will also be visiting key backstage

areas throughout the festival weekend so please keep an eye out for them and say hello!

Music Support’s confidential Helpline, run by peers with lived experience, is available Monday –

Friday, 9am – 5pm on 0800 030 6789 (or email helpline@musicsupport.org). They also offer fully-

accredited training in Mental Health First Aid and an inspirational Addiction and Recovery Awareness
